Scheduling Appointments and Payments

  • Payments are due at the time of service.
  • CaloSpa® only accepts cash and credit cards.
  • CaloSpa® takes 100% pre-payment on all Saturday appointments.

Return Policy

  1. Services rendered cannot be refunded.
  2. Products can only be refunded if unused and in its original packaging. Products must be returned within 30 days with receipt.
  3. No refunds on Make-Up products.
  4. Refunds will not be given for discounted items or services.
  5. Series of treatments or package of services purchased can only be exchanged for Spa credit to your account.
  6. We are unable to process returns or reimburse any payment transactions on gift certificates.

Financial Policies

We would like to thank you for choosing CaloSpa and CaloAesthetics for your medical and aesthetic needs.  As our valued patient, we would like to keep you informed of our current office and financial policies.  Please read each of the following sections carefully:

Payment Options

Payment for all medical spa procedures is due at the time of the treatment.  For specially packaged or grouped treatments, payment for the entire package is due at the time of the first scheduled treatment.  A credit card is required to reserve an appointment for treatment scheduled in advance.  We provide several payment options which may be used individually or combined according to your desires:

  • CASH
  • MAJOR CREDIT CARDS: Visa, MasterCard, Discover, and American Express
  • FINANCING: Our staff can assist you in obtaining a special line of credit through third parties for financing medical procedures if you wish.
  • CHECKS are only allowed in CaloAesthetics. There is a returned check fee of $25.

Prior Balances

Prior balances are due upon receipt of a statement or at the time of a scheduled appointment, whichever comes first.  If you are unable to remit payment at the time of the scheduled appointment, please contact the Finance office to plan for the balance.  If you are unable to remit payment, the practice reserves the right to reschedule your appointment for another day that is convenient for you.

Collections and Legal Activity

If CaloSpa or CaloAesthetics does not receive prompt payment, we reserve the right to transfer your balance to outside collections after being 90 days past due. If an account is referred to outside collections, we reserve the right to dismiss the patient and the immediate family of the patient from the practice. If this is to occur, you will be notified by regular and certified mail that you have 30 days to find alternative medical care.  During that 30-day period, our physician will only be able to treat you on an emergency basis.

The account is subject to additional fees incurred by the practice and/or related to the collection activity.  Pursuant to Kentucky Revised Statutes (KRS 411.195), if your account requires the practice to use an attorney to recover the amount you owe, either by legal action or by other means, you will be responsible for payment of the practice’s reasonable attorney fees and court costs.

Refunds

In the event that a treatment, or series of treatments has been purchased, begun treatment or not, these services will be considered to have been rendered even though the full series may not have been completed. Should you wish to discontinue your treatment amid a series, credit for the prorated share of unused treatments may be extended as a credit on the patient’s account in the amount it was originally paid for. In the event you are unable to use a product (e.g., experience an adverse reaction and/or sensitivity) please notify us immediately and return the item within 14 days of purchase. Unused/unopened products can be returned within 30 days for a refund.  This is at the discretion of the organization as CaloSpa and CaloAesthetics has a no refund policy.

Cancellations

Missed appointments represent a cost to us, to you and to other clients who could have been seen in the time set aside for you.  We require a 24-hour notice for canceling or rescheduling of any appointment.  There is a charge of $50.00 for missed or late cancelled appointments.  Excessive abuse of scheduled appointments may result in discharge from the practice.

Late Arrivals

If arrival is delayed, we will make every effort to accommodate your full appointment, but this is not always possible.  Service time may be abbreviated to avoid delays for other guests as treatments are charged at full value.  Appointments missed by 15 minutes or more are cancelled and are subject to the cancellation fee of $50.00.

Packages

CaloSpa packages offer our patients significant savings.  Service purchases as a package are NOT transferable.  If you are unable to use your full package within 2 years, your package will be dissolved, and any remaining credit will be put on a CaloSpa gift card. Refunds will not be provided.

Group Bookings

For parties of 3 or more, please contact the Spa Lead (at the location of service), for group pricing and availability.  A completed contract and deposit are required to secure your appointment and arranged pricing.  A 20% gratuity will be added to all spa parties.  We do not have the availability to host exclusive spa events for parties.

Promotions

CaloSpa specials cannot be used in combination with any other promotion, discount, or coupon. CaloSpa promotions and coupons are only valid in the specified time frame. They are void and non-redeemable if expired. CaloCash cannot be used on the same day that was earned.

Gift Cards

Gift cards are available for purchase in any dollar amount and may be redeemed for a later scheduled CaloSpa service or products only and cannot be used for tips.  Gift cards expire 5 years from the date of purchase and CaloSpa is not responsible for lost gift cards.  Gift cards are not valid for plastic surgery.

General Policies

Arrival

Please arrive 10-20 minutes prior to your scheduled service.  This allows you time to check in, change into a luxurious robe, and feel relaxed for your treatment.

Cell Phones

Please allow our team the opportunity to provide the best service possible by refraining from phone calls during your service.  This consideration is appreciated by fellow patients as well.  Please mute all cell phones before entering the practice.

Lockers/ Jewelry

We do provide lockers, although we ask that you please do not bring valuables into the spa.  Jewelry should not be worn during most spa treatments.  CaloSpa and CaloAesthetics are not responsible for any lost or stolen belongings.

Clothing

Please expect to remove clothing for any massage or non-surgical body contouring treatments, but undergarments can be worn if you like.  Draping assures your privacy.  Please let the provider know if you feel any discomfort at any time.

Age Requirements for Spa Guests

Guests must be 16 years or older to enter the spa.  Children under the age of 16 are not permitted.

Gratuities

A gratuity for an exceptional spa service is always your choice.  Here at CaloSpa, gratuities are acceptable for spa services, but are not acceptable for medical treatments, including injectable treatments and laser therapies (i.e., hair removal).

Medical Conditions

Let us know of any changes in your medical condition since your last visit, including pregnancies, injuries, or a recent change in your health.  We want to obtain the best possible results for you, so please inform us during your treatment if you have any special needs.

Clinical Photography

All patients receiving treatment at CaloAesthetics Plastic Surgery Center or CaloSpa Rejuvenation Center will be asked to take clinical before and after images. Clinical photography is used as a record of your current condition. Clinical photography is an important tool that enhances patient care by providing visual documentation of your condition throughout the treatment process and allowing accurate communication with the many members of our treatment team.

Common questions:

How long does it take?

The photography session will take less than 15 minutes, but occasionally, if a large number of photographs are to be taken, it may take longer. For facial rejuvenation treatments you will be asked to remove all makeup and jewelry and for surgical or non-surgical body contouring you may be asked to wear photograph garments that will be provided to you at your appointment. Our providers recognize that being photographed could make you feel uncomfortable or embarrassed and will do everything they can to complete their work in the shortest time possible.

Do I have to have it done?

Remember that you have only been asked to undergo this process because our surgeons believes that the photographs will benefit the monitoring of your condition. If you would like to move forward with your treatment at CaloAesthetics or CaloSpa you will be required to take clinical photographs.

How are the photographs used?

They will become part of your confidential medical records and your providers will be able to view the photographs via the electronic patient record system. You may be asked to give consent for the photographs to be used in medical teaching but you are free to refuse. Occasionally, our surgeons and providers may ask for your permission to allow the images to be published, for example in a medical textbook, website, or social media. Again, you are free to refuse.

Privacy Policy

CaloSpa and CaloAesthetics utilize email and text messaging to notify patients of upcoming appointments, events, and specials.  If you wish to opt out/unsubscribe to these notifications, you may do so by selecting the unsubscribe/stop link at the end of either email or text message.

We also use Facebook remarketing codes to log when users view specific pages or take specific actions on a website. This allows us to provide targeted advertising in the future. If you do not wish to receive this type of advertising from us in the future you can opt out using the Network Advertising Initiative opt-out page.
